By reserving a stand at the Mediterranean Meetings village, the exhibitor accepts the following presentation, conditions and regulations (also available for download here: General Terms and Conditions of Sale of the Village)
1. Parties
The Village is an event initiated by the Mediterranean Meetings and organized jointly with many other partners. The Diocesan Association of Marseille is the legal structure that carries out the organization of the Village which will take place in Marseille on September 22, 23 and 24, 2023, hereinafter referred to as “the ORGANIZER”.
The Diocesan Association, whose headquarters are located at 14 Place du Colonel Edon 13007 MARSEILLE, is represented by Mr. Amaury GUILLEM; duly authorized to sign these presents by virtue of a power of attorney dated June 19, 2023 from Mr. François LEROY, in his capacity as diocesan treasurer
The associations, projects, companies, collectives and/or communities represented at the Village are hereinafter referred to as “the EXHIBITORS”. The EXHIBITORS will be able to present their initiative(s), sell one or more products and make themselves known.
2. Practical information
In this village you will find a friendly and festive space, refreshment bars, a restaurant and stands.
The Marseille Mediterranean Meetings village] will be held on the Esplanade de la Major.
The village will be open, alongside other proposals (conferences, workshops, etc.):
- Friday September 22:
- 5:00 p.m.: opening of the Village.
- 22:00: Village closing
- Saturday September 23:
- 09:00: opening of the Village
- 1:00 p.m.: Village closes
- Sunday September 24:
- 09:00: opening of the Village
- 5:00 p.m. Village closing
3 – The stands
1. The different stand formats
Note: Here are the dimensions of the stands. They are subject to change depending on the service providers selected by the Village team. We will keep you informed as soon as possible if the dimensions should be slightly different.
1 – Category 1: “nursery”
The “nursery” category is a location shared between 6 associations under a tent whose main characteristics are described below:
● Barnum unfolded: 6.00 m. x 6.00 m. x 3.25 m.
● Max. height under headband: 1.90 m.
● Max. height under structure head: 1.95 m.
● Height at highest point: 4.30 m.
● Number of feet: 8
● Number of masts: 1
● Number of tarpaulins: varies depending on the location of the stand.
This category includes:
- Provision of 3 tables and 6 chairs
- The lighting
- Weekend name badges for each exhibitor
- Visibility on the village map and the Mediterranean Meetings website
2 – Category 2: “Single stand”
A “single stand” consists of a single marquee, the main characteristics of which are described below:
● Barnum unfolded: 3.00 m. x 3.00 m. x 3.25 m.
● Max. height under headband: 1.90 m.
● Max. height under structure head: 1.95 m.
● Height at highest point: 3.25 m.
● Number of feet: 4
● Number of masts: 1
● Number of tarpaulins: varies depending on the location of the stand.
This category includes:
- Provision of a table and two chairs
- The lighting
- Weekend name badges for each exhibitor
- Visibility on the village map and the Mediterranean Meetings website
2. Additional options
1 – Option #1 – Sale
Possibility of selling products on the reserved space (high bar, nursery or stand).
2 – Option n°2 – Stand duplication
You can book 2 adjoining stands, the main characteristics of which are described above. The “double stand” thus offers a space of 3.00 m by 6.00 m.
4. Location
The ORGANIZER draws up the village plan and allocates the pitches himself.
The layout of the village will be designed by a professional scenographer, guaranteeing optimal circulation of people and visibility of each stand.
Your location will be communicated to you a few weeks before the event.
5. EXHIBITORS’ Commitments
The EXHIBITORS are committed to the entire duration of the event has :
- Strictly respect the category and services chosen when registering
- Ensure that the stand is occupied by a competent person
- Keep their stand clean and tidy
- Offer entertainment that is in keeping with the spirit of the event and that would not disturb neighboring stands
6. Stand posters and decorations
The decoration of the stands is carried out by the EXHIBITORS and placed under their responsibility for the entire duration of the event. The tarpaulins and posters are fixed with string or wire to the feet of the marquee, its structure being able to support a reasonable weight. For the "nursery" category, favor kakemonos and displays fixed on the canvas using tape, the possibilities of displays on feet being possibly restricted depending on your location.
EXHIBITORS must not modify the elements put in place by the ORGANIZER such as banners, signs, lighting or carpets. EXHIBITORS undertake to position decoration and displays in such a way as not to obstruct the aisles or disturb neighboring stands.
The ORGANIZER reserves the right to ask exhibitors to remove posters, banners and signs that do not conform to the spirit of the event.
7. Village Signage
A sign composed according to the charter of the Mediterranean Meetings in the name of your association will be placed on your tent by the Organizer.
8. Assembly and disassembly
The organization of assembly and disassembly will be defined once your registration has been validated. EXHIBITORS undertake to scrupulously respect the assembly and disassembly instructions received a few weeks before the event.
Exhibitors are scheduled to set up on Friday early in the afternoon. Each EXHIBITOR will be assigned a time slot for dropping off equipment based on their location in the village and, where possible, taking into account their availability. Equipment deliveries are only possible during the scheduled set-up time and in the presence of a designated person from among the EXHIBITORS, after express notification from the Organizer.
Dismantling is planned for Sunday evening, and each EXHIBITOR will be granted a time slot for removing the equipment. After 8 p.m. no equipment may be stored/left.
The ORGANIZER invites all EXHIBITORS to provide a hand truck and trolley to install their equipment.
All practical information related to the setting up of your stands will be communicated to you during the month of September. Please wait until you have received them to ask us for any further details.
9. Applications, payment and invoicing

The ORGANIZER reserves the right to invalidate (subject to reimbursement) the application of a project or association which does not correspond to the vision of the Mediterranean Meetings.

Rates, options and regulations
Registration and payment for EXHIBITORS is done using a form by Carte Bleue before July 30, 2023. The site automatically generates a certificate of your payment.

Attention :
- These prices do not include any meals..
- Places per category are limited.
- The “with sales” category means that the majority activity on the stand is commercial.
- When registering, if you want a double stand, you will need to select 2 stands in category no. 2.
10. Communication
The ORGANIZER publishes on the website of the Mediterranean Meetings as well as on the application the names of the EXHIBITORS followed by an article presenting their project. The ORGANIZER will not be responsible in any way for any omissions, reproduction or composition errors...
The EXHIBITORS expressly authorize, free of charge, the ORGANIZER:
- To take, if he wishes, photos and/or films representing him and the members of his team, as well as the products exhibited on his stand;
- To freely use these images on all media, particularly advertising, in France and abroad;
- To cite and reproduce its brand or company name free of charge as a commercial reference for the needs of its communication, on all media, both in France and abroad.
11 – Safety regulations and degradation
EXHIBITORS must comply with the security measures imposed by the HOST VENUE and the ORGANIZER, in particular by providing the contact details of the people responsible for the stand.
The instructions on the use of the electrical network must be particularly taken into account - only the recharging of telephones and computers is authorized. One device at a time can be plugged into the socket available in the stand. Other devices, particularly those for small catering (kettle, coffee machine, waffle makers, etc.) are not tolerated.
12 – Responsibilities – insurance
Disclaimer
The ORGANIZER organizes the Village within the framework of a general obligation of means. It excludes any indirect damage.
The ORGANIZER declines all responsibility for any damages that may be suffered by exhibitors for any reason whatsoever.
Damage to premises or equipment caused by the exhibitor
Any damage caused by exhibitors' installations or the goods exhibited, to buildings, installations provided by the ORGANIZER, to trees, plants, or any other elements and/or to the ground are assessed by the ORGANIZER and charged to the exhibitors.
Fraud, unfair competition, counterfeiting
EXHIBITORS undertake to present only products or materials that comply with French regulations, not to engage in any advertising that could mislead and not to commit any act of counterfeiting or unfair competition. The ORGANIZER may not be held responsible in any way for failure to comply with this obligation.
13- Cancellation
In the event of force majeure (war, attack, pandemic, strike, national mourning, natural disasters, etc.), prohibition, cancellation, due to the action of a third party or lack of administrative authorization, the ORGANIZER may decide to cancel the Village of initiatives. Reservations will be refunded to EXHIBITORS with a deduction of 10%. Only the invalidation of the registration by the ORGANIZER may otherwise give rise to a refund.
